Event Entries
At Tri Spirit Events we will always do our best to make your experience enjoyable, and that requires a lot of planning. Events can take as much as 12 months of planning to put on, and the result is that there is a lot of administration and outlay for insurance, equipment, marketing, website building and development, advertising and staffing.
So, we ask that when you enter one of our events, you comply with our conditions of entry:
Online entries are processed on our behalf by Active Europe, and once you have received your acceptance email, you are in.
If you enter an event by post, when we have cashed your cheque your entry is confirmed.
We reserve the right to refuse entry to, or revoke the entry of, anyone who we feel would prejudice the event or its organisers, sponsors, staff or associates in any way, or would jeopardise the safety or enjoyment of the event for other competitors, Tri Spirit Events staff, marshals, BTF officials or others associated with the event itself.
Event Information
We will display the routes, maps, instructions and a list of competitors taking part on our website www.trispiritevents.com before the event takes place. We will also email competitors with event instructions at least one week before the event takes place. It is down to the competitor to let us know if they have not received an email prior to the event, but we recommend that you set your spam filter to receive emails from Liz King, the event director, by adding this address to your address book:

However, we also ask that competitors keep an eye on any changes made on our website to event details prior to this. We will endeavour to inform you of any changes as soon as possible, although this may not always be possible. In all cases, it is your responsibility to ensure you are familiar with the details of the event you are participating in.
We do not post event details to competitors unless they specifically request this. If you want your event details posted, you must send a stamped, addressed envelope to us. Please call 01233 860265 for the address details.
Rules and regulations
We expect our competitors to make themselves aware of the rules and regulations that apply to any of our events, and by entering the event you agree to comply with them. In some cases, it may also be necessary for Tri Spirit Events to impose certain rules on competitors, and these must also be complied with. This may include cut-off times for specific events, and these will be strictly enforced for the safety of competitors. We will detail the cut-off times for events where they apply.
If you are disqualified from an event for an infringement of the rules, you will not be entitled to a refund. Any less serious rule infringement may result in a time penalty, and this will be applied to your time at the earliest opportunity.
Triathlons and duathlons
All of our events are run under the rules of the British Triathlon Federation, and where applicable any other authorising body which may include the International Triathlon Union, and competitors are expected to comply with all rules and regulations relevant to each event. Running events
Our run events are run under the auspices and rules of UK Athletics, and you will be expected to comply with the rules and regulations of the UKA for these events. While you are able to use MP3s to run under UKA rules, we recommend and strongly suggest for safety reasons that you do not use anything during the event that could impair your hearing preventing you from listening to marshals' instructions.
All decisions made by Tri Spirit Events, its staff, agents, marshals or other authorised representatives are final, and anyone entering our events agrees to and abides by this condition of entry.
Marshals
Marshals are an integral part of multisport events, and in most cases they are volunteers who are giving up their time for your safety and enjoyment. So please be nice to them, and thank them whenever you have enough breath to do so.
Any abuse of the marshals or any other officials will result in an instant disqualification from the event, and potentially result in you being barred from participating in any other events run by Tri Spirit Events.
Under the British Triathlon Federation rules, you are responsible for knowing the course you are using. The marshals are there for your safety, and although all will do their best to help you, you must not rely on them for course directions at any time.
Competitor Details
If any of your details are incorrect on the competitor list, please inform us as soon as possible. It is your responsibility to do so.
You are not allowed to transfer your entry to another competitor without letting us know in advance. Anyone doing this may be prevented from entering any of our future events.
Withdrawals Policy
If you need to withdraw from an event run by Tri Spirit Events, then please follow this procedure - we will not offer a refund within 60 days or less to the event date, but we do offer two options:
Option One

To ensure there is no abuse of this policy, we will only allow people who tell us at least two weeks in advance to defer their entry to the following year. We will only allow you to defer for a single year, so if you are unable to take up a place that you had previously deferred, we will not allow it to roll over for a second year.
Option Two
You may have someone participate in your place, but you MUST inform us of your intention to do this at your earliest opportunity, and at least two weeks before the event. If someone simply turns up on the day to take your place, we will also charge them the full entry fee.
If Tri Spirit Events has to completely cancel the event for any reason, we will give you a full refund. However, this will not apply if we merely have to make alterations to an event, including but not limited to the course, start times or distance of the event.
Any changes would be kept to an absolute minimum, but safety is paramount, and we reserve the right to make changes to the courses or any other aspects of the event without notice to meet any safety concerns expressed either by the directors of Tri Spirit Events, British Triathlon Federation referees, or any other relevant authority.
Refunds Policy

- If you withdraw from an event 60 days or more before the event day you will receive a refund minus an admin fee of £7.50.
- Withdrawals with less than 60 days until the event day, you will not be eligible for a refund. Please see withdrawals for other options.
Run Events Withdrawals and Refunds
No refunds are issued for run events.
Timing and results
Tri Spirit Events and any company that it employs to provide timing services will do everything possible to provide a finish time and result for any event a competitor participates in. However, there are occasions when there are technical difficulties or malfunctions that are beyond our control, and neither we nor our partners can be held responsible for such occurrences.
If you fail to wear your timing chip for an event, or lose it part way through, you cannot expect a finish time to be provided for you.
Prizes
Where prizes are awarded to individuals or teams, Tri Spirit Events would expect the prize to be collected on the day. If that is not possible, then competitors would be expected to make arrangements with the event director as to how the prize would be collected.
If prize winners make no effort to contact the event director within a week of the results being published on the www.trispiritevents.com website, then the prize will be forgone.
Photography And Use Of Images
Tri Spirit Events retains the right to use the images associated with events in marketing and/or promotion of the events, website or the company and its associates without informing or paying competitors.
In entering an event organised by Tri Spirit Events, you are agreeing to the use of any images in this way.
